The Job: 


As the Payroll & Admin - Senior Executive, you will be our only Payroll person and so will be responsible for making sure your 300 lovely colleagues get paid correctly, and on time! Don't worry, as you have the support of our 3rd party payroll provider, JPS, take care of the bulk of the back-end work. We have 2 payrolls – one monthly for all the salaried staff and one weekly for our hourly rate paid team who work packing customers' boxes in our fulfillment centre in Banbury.


This role is part of the People team and works closely with the Finance team, so any candidate needs to be confident with data, analysis, legislation and compliance. While this role is payroll-focused, there are some wider, important business admin tasks that you will be responsible for. We want someone to grow with our changing needs, and we are very supportive of learning and development.


Ideally you will be based full-time in Banbury, Oxfordshire. However, we are open to candidates who are based in London, but must be willing to commit to working every Thursday and Friday in Banbury.


What you will do: 



  • Own the completion of end to end payroll process for monthly and hourly paid staff, working alongside our third-party payroll provider.

  • Manage processes for P60s, P11Ds, leaver P45’s and advise business on employment tax issues

  • Manage all on-going auto-enrollment legislation changes and salary sacrifice benefit schemes, plus all benefits and pension administration

  • Review and analyse current payroll, benefits, and tax procedures

  • Maintain high level of audit compliance for all records, owning the record-keeping and internal controls needed for payroll from an external and internal audit perspective

  • Ensure that all internal monthly reporting is completed on time and in full; including but not limited to: global headcount report, forecasting payroll based on starters/leavers, reconciling variances between budget and actual personnel costs

  • Own all external reporting to HMRC and ONS which includes Gender Pay Gap reporting

  • Own all People data on our HR system, BambooHR, ensuring all employee data is up to date and accurate including holiday and sick leave administration

  • Creating and sending role and salary change letters to staff when their contractual terms change

  • Drawing up new contracts for staff who join our team at The Granary.

  • Other Granary-based admin tasks


You have: 



  • Experience in UK payroll, tax and reward experience

  • High degree of accuracy, are data driven, and possess meticulous attention to detail

  • Driven by a keen sense of serving your internal customer

  • A strong ability to communicate information clearly to a range of stakeholders

  • Proven ability to calculate, post and manage accounting figures and financial records

  • Relevant qualification or certification

  • Strong skills in Excel or Google Sheets. You will need not only to use existing processes but also develop new, more efficient ones as the business grows.
